How to Apply to Chinese Universities: Systems, Documents and Timeline

There is no single national application portal for Chinese universities. The route you take depends on whether you are applying for a degree programme, a Chinese language course or a scholarship. Getting the systems, timeline, documents and post-admission steps straight makes the whole process much smoother.

  • Application systems: most degree programmes are applied for through the university's own online application system for international students, as Shandong University does with its international student application portal. Chinese Government Scholarship applications go through the national online system for studying in China and follow its instructions on choosing a receiving institution. Use the Study in China portal and each university's international student site to check institutions and programmes, and language course applicants may also apply through the Center for Language Education and Cooperation channels.
  • Opening and closing dates: applications for the autumn intake at most universities open between late autumn of the previous year and spring of the intake year, with reviews in rounds and places filled as they go; scholarship deadlines are usually earlier. Dates change every year, so follow the current year's admission guide rather than working backwards from previous years.
  • Document checklist: passport information page; highest diploma and complete transcripts, with translation for documents not in Chinese or English and notarisation where a university requires it; proof of language ability, usually HSK for Chinese-taught programmes and IELTS, TOEFL or an internal test for English-taught ones; a study or research plan; recommendation letters; the Foreigner Physical Examination Form and medical records; some programmes also ask for a police clearance certificate, a portfolio or proof of work experience.
  • Recommendation letters: usually two, written by teachers at associate professor level or above, or by an employer, on letterhead with a handwritten signature, explaining the relationship with the applicant, how well they know them and why they recommend them. Letters can be in English or Chinese, and some universities provide a template that is safest to follow.
  • Interviews: scholarship programmes and some English-taught programmes hold online or in-person interviews, mostly covering study plans, academic background, language ability and funding. Art, design and medical programmes may add a portfolio review or subject test.
  • After admission: once you receive the admission notice and the JW201 or JW202 form, apply for an X1 visa at a Chinese embassy or consulate. After entry, register with the university as instructed, take the medical check, complete accommodation registration and apply for a residence permit within the required period, generally 30 days of entry. Applicants under 18 or with accompanying family have additional document requirements.

A practical timeline: decide on your field and city, prepare for the language test, line up recommenders, get diplomas and transcripts translated and notarised, submit the online application, wait for interviews and decisions, then handle the visa and medical check. Translation and notarisation of academic documents take the longest, so start them first rather than in the final week before a deadline.

Common mistakes: choosing purely by ranking without checking the language of instruction and course content; mistaking a scholarship deadline for the university's application deadline; submitting blurry scans or incomplete transcripts; and assuming an offer letter means a visa is guaranteed. All dates, fees and document requirements can change, so the current year's notices from the university and the scholarship administrator are the ones to follow.

The above is general guidance only. For specific requirements and the latest rules, please refer to official announcements.
